The short answer
- If your sellers work in Gmail, consider Copper; Copper pricing lists Basic at $29 per seat per month on monthly billing.
- If you need calling alongside deal work, consider Freshsales; Freshsales pricing lists Growth at $9 per user per month billed annually.
- If restricted workflow automation is enough, consider HubSpot; HubSpot’s free tools page lists up to 50 workflows with restricted triggers and actions on Sales Hub Starter.
- If your team works from the deal pipeline, consider Pipedrive. Pipedrive pricing lists automation and nurturing sequences on Growth at $39 per seat per month billed annually.
- If custom reports matter, consider Zoho CRM; Zoho CRM’s limits permit 100 custom reports on Standard.
Define lightweight for your team
This guide assumes teams of 2 to 20 selling seats as an editorial scope, not a measured market.
A useful CRM gives sellers a place to maintain contacts and advance deals. It helps them find the next follow-up. Lightweight describes the work your team can sustain, not a feature count.
The right small-business CRM depends on the jobs it must support. A shared pipeline may matter most to one team; a team that relies on calling or management reports will weight the decision differently.
Compare these products on the same daily tasks. Each has a documented route for handling sales work, but the relevant plan and limits differ.
This is a selected comparison, not a complete catalog. A product not listed has not been judged unsuitable.
Start with an actual opportunity: ask a seller to add a contact, record a conversation and move the deal. Ask a manager to find the overdue work without help.
Compare documented workflows
This comparison pairs a starting plan with one constraint that can affect everyday use. Prices are USD list prices; the billing cadence matters when comparing them.
| Product | Plan and billing basis | Documented limit or feature |
|---|---|---|
| Copper | Basic: $29 per seat per month on monthly billing | 2,500-contact limit; task automation |
| Freshsales | Growth: $9 per user per month billed annually | 1 pipeline |
| HubSpot | Sales Hub Starter: from $20 per month per Core Seat; billing commitment not stated | Up to 50 workflows with restricted triggers and actions |
| Pipedrive | Growth: $39 per seat per month, billed annually | 5,000 leads and deals per seat, up to 300,000 per company |
| Zoho CRM | Standard: $14 per user per month when billed annually | 100 custom reports |

A rate alone will not tell you the work involved. Compare the edition needed for access controls, the email connection your sellers use and any service needed to implement the process.
For reporting, start with the question a manager needs answered. A dashboard count is less useful than a report that separates active deals from stalled ones and respects each seller’s access.
Copper
Copper fits a team working in Gmail that wants tasks tied to its pipeline. Copper’s Gmail guide says a Gmail signup activates synchronization for communications with contacts.
Copper pricing lists Basic at $29 per seat per month on monthly billing, with a 2,500-contact limit. Copper Basic includes task automation and native contact enrichment; the page does not specify enrichment charges or limits.
Copper’s workflow guide says Workflow Automation cannot send emails. Copper’s email automation guide says Professional can automate a single email and automated emails use Gmail.
Copper’s permissions guide lists record-owner visibility on all plans. Copper’s reports guide says admins and account owners can grant report access to users.
For calling, Copper’s RingCentral guide describes an integration requiring Copper Professional or Business and an eligible RingCentral subscription. The pages we read do not say what RingCentral calling costs.
Freshsales
Freshsales fits a team that wants follow-up tasks and calling activity in its sales record. Freshsales workflows can create tasks and send email alerts.
Freshsales pricing lists Growth at $9 per user per month billed annually. Freshsales pipeline limits allow one pipeline on Growth and 10 on Pro.
Freshsales email connection fetches only emails associated with contacts. Import contacts before synchronization so that the incoming messages can be associated.
Freshsales roles can restrict an agent to owned records. Freshsales analytics describes custom reports with at most 10 widgets.
Freshsales calling automatically logs phone calls. Freshsales phone credits are prepaid, and insufficient credits prevent calls or number purchases.
HubSpot
HubSpot fits a team that wants sales work near a wider customer record. HubSpot’s connected inbox supports individual CRM emails, logging and sequence emails.
HubSpot’s catalog lists Sales Hub Starter starting at $20 per month per Core Seat. HubSpot’s pages we read don’t say whether that rate assumes annual billing. HubSpot pricing requires a $1,500 one-time onboarding fee for Sales Hub Professional.
HubSpot’s free tools page lists up to 50 workflows with restricted triggers and actions for Sales Hub Starter. HubSpot Sales Hub Starter includes 30 dashboards with 50 reports per dashboard.
HubSpot’s access guide reserves team-only record permissions for Professional or Enterprise. HubSpot’s catalog describes native calling that can record and automatically log calls.
Pipedrive
Pipedrive fits a team whose daily work centers on moving deals through stages. Pipedrive pricing includes automations and nurturing sequences on Growth.
Pipedrive pricing lists Growth at $39 per seat per month, billed annually. Pipedrive Growth includes Gmail and Outlook email sync, bulk email, and open and click tracking.
Pipedrive’s permissions guide separates actions controlled by permission sets from data controlled by visibility groups. Pipedrive Insights reserves additional dashboards for Premium and higher.
Pipedrive’s calling guide describes browser calling through a Marketplace integration. Its mobile apps can make and log calls from the device.
Zoho CRM
Zoho CRM fits a team that wants configurable workflows and custom reports. Zoho CRM’s edition guide lists multiple pipelines and custom modules on Standard.
Zoho CRM’s edition comparison lists Standard at $14 per user per month when billed annually.
Zoho CRM’s limits permit 100 custom reports on Standard. Zoho CRM Standard permits five roles, which may matter when dividing access.
Zoho CRM telephony is native and does not require an external provider. Zoho CRM’s calling guide says calls incur usage charges; the pages we read do not specify eligible editions.
Run the same everyday test
Put a real manager question and a seller’s ordinary day into the trial. Include the exception that most often sends your team back to a spreadsheet.
Use the software trial guide to record results consistently. For a calling-heavy process, continue to the outbound sales CRM guide.
