The short answer

  • Count the usage unit and the organizations that need paid features before comparing plans.
  • If a client must own the form, test the move into its workspace and reconnect the destination.
  • A successful submission needs a separate check at the CRM or database, especially for repeat leads.
  • Restricting prefilled data can change the fields available to form logic; test both exposure and behavior.

Price the workflow and the client accounts

Start with the volume and the work each client needs to own. Compare response allowances, submitting users and live forms as distinct units. We compare documentation from Tally, Fillout and Feathery.

Tally’s pricing includes free forms and submissions with conditional logic and webhooks, subject to fair usage. Tally Pro adds branding removal and partial submissions.

Fillout’s pricing lists unlimited forms and seats on Free, with 1,000 responses monthly. On annual billing, Fillout lists Starter at $15 monthly equivalent for 2,000 responses and Pro at $40 for 5,000 responses.

Feathery’s billing FAQ defines monthly active users as submitting users and deduplicates repeat submissions to the same form in that month. Feathery distinguishes unlimited drafted forms from plan-limited live forms; confirm current packaging because the FAQ may reflect older plans.

Feathery’s pricing page routes workflow and document buyers to a demo and distinguishes standard integrations from premium integrations sold à la carte. Include the destination connection in the quote, especially when it is essential to launch.

Tally’s fair use policy says sustained high volume can trigger a custom plan. Tally also prohibits sharing paid subscriptions with businesses outside the registered organization. An agency serving independent clients should budget for the actual ownership arrangement.

Fillout’s pricing FAQ says forms keep collecting after the submission limit. The documentation does not settle access to over-limit responses or account enforcement; get those terms before relying on overflow.

Plan the move into the client’s workspace

Treat the form, its responses and its connections as separate handoff items. A working copy is only the start of the transfer.

Tally’s collaboration guide says accounts belong to one Pro or Business organization. Tally template copies do not move responses, and transferred forms lose integrations. Inventory the destination and reconnect it before directing live traffic to the client’s copy.

Fillout’s migration guide says form exports omit submissions and comments. A Fillout form imported into another organization needs its integrations reconnected. Its third-party import copies structural items but excludes backend settings.

For example, an agency can copy a client’s intake form and still leave the response history behind. Export the results separately, compare the fields in that file, then submit a synthetic lead through the client-owned copy. Have the client verify access to the destination and the exported history before retiring the original.

Record who owns the form URL and who can change its destination. Keep a handoff list of the active form and destination fields, along with the person responsible for restoring a broken connection. Agree on the point at which the client takes over maintenance.

Test record updates and prefill together

Choose the record action before designing the form. Decide whether a known lead should update an existing record or create a new one, then make the expected result visible to the person checking the destination.

Fillout’s HubSpot integration page describes creating Contacts, Deals and Companies. Fillout also describes updating existing contacts and prefilling from HubSpot. That description does not answer how a collision is resolved or whether your field mappings are correct. Use a synthetic existing contact with a known value and inspect the record after submission.

Fillout’s update-form guide says update links load entire records by default. Its restricted prefill option loads mapped question fields only. Unmapped fields then become unavailable to logic, calculations and answer piping. Hiding a question and restricting the data loaded are separate design decisions.

Fillout’s Airtable duplicate prevention is available on Business and Enterprise and matches a selected email or single-line field. Its guide describes preventing records from being saved to Airtable. Test exact matches and simultaneous submissions separately; the guide does not promise fuzzy matching or race-safe updates.

Write down the expected treatment for an empty answer and a changed answer. A lead may submit successfully while the destination retains an old value or creates a second record. Inspect the destination itself instead of relying on the form’s success screen.

Make the handoff resilient

A delivery needs an owner and a way to spot missing or repeated events. Test a delayed destination as well as the ordinary path.

Tally’s webhook guide says free webhooks send JSON on submission and require a 2XX response within ten seconds. Tally retries failed requests in stages and offers optional signatures for request verification. Test the receiving endpoint’s handling of retries and signatures with synthetic submissions.

Feathery’s API action guide describes rule-based connectors for CRM lookups and custom validation. Use the actual destination in a trial and inspect what happens when a lookup fails. A configured action alone does not show that the downstream record is correct.

Agree on who watches for a failed handoff and how that person can reconcile submissions with destination records. Keep enough information to identify a repeated event without copying sensitive client data into a test. The software trial guide helps set the same acceptance criteria for each candidate.

Tally’s Form Insights guide offers raw CSV and submission PDFs, while its Insights dashboard cannot be shared or exported. If a client needs a report on long answers, test the reporting handoff separately from lead capture.

Run the client handoff worksheet

Use the same synthetic lead and destination fields for each candidate. Record the expected result before testing, then keep the observed result beside it.

Common questions

What is the best form builder for agency clients?

If each client needs its own workspace, start by testing the transfer and pricing that arrangement. Tally’s policy limits paid subscription sharing outside the registered organization; Fillout’s migration guide requires reconnecting integrations across organizations.

Does Fillout stop collecting when I reach the limit?

Fillout’s pricing FAQ says forms continue collecting above the submission limit. Confirm access to those responses and any account-level enforcement.

Can I move form responses with a template?

Tally’s collaboration guide says template copies omit responses. Fillout’s form export omits submissions and comments, so export results separately and inspect the files.

Will a form update an existing HubSpot contact?

Fillout’s HubSpot page describes updating contacts. Test your matching and field mapping with synthetic records before relying on the workflow.

Does hiding a field protect prefilled data?

Fillout’s update-form guide says update links load entire records by default. Restricting prefill limits loaded data to mapped question fields and also changes what logic can use.
