The short answer

  • Livestorm counts attendee credits by person and session across live and replay; Demio prices around hosts and a concurrent room tier. Estimate attendance and peak occupancy separately.
  • For native HubSpot follow-up, Livestorm lists HubSpot with Pro while Demio lists it among Premium integrations. Check the event fields and replay behavior before choosing.

Compare the same webinar workload

Assume four live webinars per month, 300 unique registrants across the month, up to 100 simultaneous attendees per event, two named hosts and replay access. The 300 is a monthly unique registration count, not a room-size or attendance count. The same person may register for several sessions.

The fixture does not establish total live attendees, replay-only viewers, the distribution across events, session duration or how often the two hosts run sessions at the same time. Those missing details affect plan fit and any cost estimate.

Count the room and the audience separately

Livestorm uses annual attendee credits. A no-show costs no credit; one attendee joining different sessions uses one credit for each, while live attendance and a replay of the same session together use one. Livestorm says internal team members do not consume those credits. The older monthly active-contact documentation describes a different model; check the billing terms on an existing account.

As checked November 5, 2026, Livestorm lists 400 annual Pro credits at $1,200 and 1,000 at $2,900 in its USD tier table. Those examples are not a quote for this workload: actual annual attendance and replay-only viewing remain unknown. Confirm taxes, currency and add-ons.

A peak of 100 simultaneous attendees does not establish how many credits the four sessions consume. Ask Livestorm to confirm the concurrent room capacity, annual credit pack, exhaustion behavior and treatment of external speakers and replay viewers for this account. Its billing guide says unused credits do not roll over to the next period, but separately says remaining credits carry forward when upgrading. The guide also describes possible Enterprise overages after quota, while the pricing FAQ says new attendees are blocked. Confirm the account terms.

Demio’s room limit is simultaneous attendees per session. Its pricing page lists Starter with a 50-person room and one host, and Growth and Premium with selectable room sizes beginning at 150. For the 100-person peak, check the 150-person tier rather than using the Starter price. A room limit is not the same as 300 monthly registrants.

Assign the two hosts

Livestorm lists unlimited team members on Pro; its contributor guide says team members must be assigned to the events they need to access. Confirm permissions, external speaker status and concurrent-session rights for the actual account.

Demio prices Growth and Premium per host and says multiple hosts are needed to run simultaneous events. A named host can start and stop a session; ask whether both people need host seats for the planned schedule, rather than assuming presenters or moderators have the same permissions.

Plan the live event and replay

Demio lists live and event-series formats and shows pre-recorded on-demand and automated webinars on Growth and Premium. Starter has a three-hour session limit, Growth eight hours and Premium ten hours in its table. Livestorm lists up to four hours per Pro session; confirm the selected event format and recording rules on your account.

Livestorm says a recorded event can provide a replay to registrants or be used for an on-demand event. Demio describes event recordings and replay controls. Confirm automatic reminders, link access, replay expiration, retention and downloads before committing; the documentation does not make a replay viewer equivalent to a live participant. Clearly tell attendees when a session is prerecorded.

Demio says automated events play prerecorded video and can still allow a team member to engage live in chat. Livestorm says its replay excludes sidebar chat, questions and polls. Decide how to handle questions after the recording and whether the replay preserves the context your audience needs.

Check captions and access

Livestorm describes automated transcripts and captions for replays. Its guide limits this service to events shorter than two hours; confirm availability for the event you plan to record. Its live translations guide describes a paid add-on, available on Pro attendee-credit plans from 1,000 credits and on Enterprise. Verify supported language, quality and what happens if captions are unavailable.

Demio lists live captions and automated recording transcription on Premium; its recording guide describes editing captions and downloading a transcript on Premium or higher. Test the specific browser, devices and attendee experience needed for your audience. Neither feature list alone establishes accessibility for every participant.

Follow registration and attendance into the CRM

Livestorm documents registrant and attendee data in HubSpot marketing events or activity timelines. Demio describes separate HubSpot lists for registrants, attendees and no-shows, with its pricing table listing HubSpot as a Premium integration. Check account permissions, field mappings, processing delays, consent and errors.

A registration is an intention to attend, not an attendance event. Check live participation and replay engagement separately in the event report and destination record. Demio’s Pardot guide, for example, says its activity record does not include replay views; do not generalize that behavior to every CRM connector.

Livestorm documents HubSpot event details such as attendance duration and engagement counts. Demio describes contact updates and separate segmentation lists. Verify the precise fields and CRM permissions required for your follow-up rather than assuming a generic integration sends every detail.

Control event data and replay access

Livestorm describes correcting and deleting registrants and a data-retention policy. Demio documents an optional registration checkbox with customizable text and an account setting that adds it by default. These controls do not automatically decide the right notice or legal basis for your audience.

Decide who can access recordings and contact data, how long to retain them, and how a deletion request reaches connected systems. Check the vendor agreement, registration settings and CRM retention together.

Rehearse before choosing

For the fixture, request a quote that covers the room, two named hosts, live sessions and replay audience. Compare Livestorm and Demio with the same synthetic registrant and attendance cases. Consider BigMarker when a broader virtual-event program is part of the decision.

Use the CRM guide to choose the system of record and the software trial guide to document acceptance criteria. Review what data is collected, who can see it, and how to delete or export it.

Common questions

Do 300 registrants require a 300-person room?

No. The room needs to accommodate the peak concurrent audience, not every person who registered during the month. Check how each vendor counts room participants and replay viewers.

Does replay viewing use Livestorm attendee credits?

Livestorm says a replay-only viewer uses a credit; someone attending live and watching the replay of the same session is counted once for that session.

Does a CRM integration prove the attendance field arrived?

No. Confirm the integration plan, field mapping, permissions and actual destination record. Registration, live attendance and replay activity can be different events.
