Demio

Size the room and hosts

Demio lists Starter with one host and a 50-attendee room. Growth and Premium offer room selections of 150, 500, 1,000 or 3,000; the displayed price changes with room size and billing period. Multiple simultaneous events require multiple hosts. Confirm the configuration and total price before purchase.

Demio says room size is a concurrent attendee limit, not a registration limit. When the room fills, new attendees see a queue until space opens or capacity increases. Set a separate registration cap if required and rehearse a surge plan.

Choose live, scheduled or on-demand

Demio lists live and event series separately from prerecorded automated and on-demand webinars. Demio says scheduled automated sessions use a live-like registration flow, while on-demand registrants can view immediately. Explain the format accurately and assign someone to respond to questions.

Demio’s recording guide describes downloading an MP4 or creating an on-demand event from a recording. Its replay editor guide shows controls to disable replay video and configure the page. Confirm whether the public replay link is appropriate for the audience and retention policy.

Review captions and privacy

Demio’s pricing page lists live captions and automatic recording transcription on Premium; its recording guide identifies transcript editing and export as Premium features. Its replay captions guide describes captions as beta and warns automatic captions can be inaccurate. Verify entitlement, language and accuracy for both live and replay, then correct or supplement captions as needed.

Review registration notice, consent fields, attendee access and chat retention with your privacy team. A shared replay URL and downloadable recording can outlive the event; decide who may view or distribute each artifact.

Test the handoff

Demio’s pricing page lists HubSpot and other premium integrations on Premium. Its HubSpot mapping guide says property types need to match mapped field types. The Pardot guide says Record Activity does not create an activity for a replay view. Check which fields and event states your integration writes.

Use authorized test records to compare registration, attendance, no-show and replay status in the destination. Monitor sync errors and avoid treating registration consent as blanket permission for unrelated follow-up.

How to compare the alternatives
