The short answer
- Wistia prices its current platform around storage, bandwidth and users; its Signals offering adds marketing integrations. Vidyard emphasizes recording and sharing, with CRM and marketing-platform integrations listed on Teams and Enterprise.
- Both can embed video and provide engagement data. The right plan depends on the publishing or sales workflow, the identity method and whether a view reaches the intended CRM record.
Separate the two buying jobs
For a website library, assume 50 videos averaging four minutes each, three editors and unknown monthly playback bandwidth B. Neither video count nor runtime determines the stored bytes or traffic: encoding, resolution, viewing duration and repeat plays matter.
For sales outreach, assume five creators each making 20 videos per month, a required CRM and unknown viewing volume. This is a different workload from the library, not an invoice or a tested deployment.
Price the website library and its traffic
Wistia lists Business at $79 per month billed annually with three users, 250 GB or more storage and 1 TB of bandwidth. Business + Signals is listed at $329 per month billed annually and includes the marketing integrations. Check currency, actual file size, the meaning of the selected storage tier and add-ons in the quote.
Wistia’s usage guide says paid plans can incur per-GB bandwidth charges beyond the allowance. Free accounts cannot buy overage: after a grace period, embeds stop until the allowance resets. Because B and file sizes are unknown, the 50-video fixture does not determine a total or even establish whether a particular storage allowance is enough.
Vidyard supports website embeds. Its Free embed guide describes a five-video limit, while its pricing page says Free has no video hosting. Neither description supports a 50-video library on Free; confirm what your account permits. Ask for the applicable paid plan, storage, bandwidth, simultaneous viewers, additional users and overage terms rather than assuming an unlimited hosting quote.
Price five creators and a CRM
The five sales creators would produce 100 videos a month under the illustration. Vidyard limits Free accounts to five recorded videos per month; its pricing page lists unlimited recording on Starter but places CRM and marketing-platform integrations on Teams, which is custom priced. Confirm seats, identity, video usage and the actual CRM connection in the quote.
A Vidyard buyer guide lists Starter at $59 per seat per month billed annually or $89 monthly. Five seats at the annual rate would be $295 per month equivalent before tax, but Starter does not establish the required CRM integration. Teams pricing is custom; this arithmetic is not a quote for the scenario.
Wistia lists three included Business users and an additional-user price, while its Signals offering covers HubSpot, Marketo and Pardot integration. Confirm whether the five creators need separate users, the number of integrations and total storage and bandwidth before assigning a cost. Both workflows may also need consent and CRM administration.
Compare the viewer experience
Wistia lists a customizable player on Free and branding removal, collections and playlists on Business. Vidyard lists branded sharing pages on Starter and advanced branding on Teams. A sharing page and an embedded player serve different journeys: verify the website controls and the email recipient experience separately.
Vidyard says embed restrictions are an Enterprise feature. A domain allowlist controls where a player runs; it does not by itself authenticate the viewer. Check passwords, access rules, captions, accessibility and the plan-specific controls for each audience.
Separate a view from an identified contact
Wistia Forms can collect an email address in a video. Its HubSpot guide says the integration relies heavily on browser cookies and forms make identification more reliable. A form submission, video view and CRM acceptance are separate events; some viewers remain anonymous or may not consent to tracking.
Vidyard documents tracked links, forms and integration methods to associate a viewer with an email address. Its sharing guide warns that a colleague clicking a tracked link can be identified as the intended recipient, and its multi-recipient guide describes reduced identification for some shared email threads. A named view is a signal, not proof of a particular person’s identity, attention or buying intent.
Trace the event into the CRM
Wistia documents placing tracking and forms around media for HubSpot. Vidyard documents media-play and form-fill events in the HubSpot contact timeline. Confirm the exact plan, object, match key, timing, field permissions, cookie/consent configuration and retry behavior for your CRM.
Use separate synthetic identities for an anonymous browser, a form submitter and a forwarded link. Compare the player report with the destination contact record and check what happens when tracking is blocked. A notification alone does not prove the CRM received or correctly attributed an event.
Protect access and keep an exit copy
Wistia lists private sharing and password protection; Vidyard lists password-protected videos on Starter. Confirm the permission and plan for the actual video and sharing surface. A private link or a lead form is not automatically a complete access-control or consent policy.
Vidyard’s self-serve terms allow internal use of Free-plan customer content for service improvement, including AI training, and describe location-dependent consent or opt-out choices for certain third-party sharing. Review the applicable terms before uploading sensitive recordings.
Wistia describes downloading a video, thumbnail and available transcript, and its Channel guide describes a media ZIP export. Vidyard says video downloading starts on paid plans and may require team permission. Inventory captions, source files, player settings, forms and analytics separately; a video download is not a complete migration.
Choose against the actual job
Compare Wistia and Vidyard using the library and sales scenarios separately. Consider Loom for asynchronous recording and sharing. Use the CRM guide and software trial guide to define the handoff and acceptance criteria.
Common questions
Does 50 videos fit a specific storage plan?
Not from video count and runtime alone. Determine actual encoded file sizes and monthly playback bandwidth, then compare the relevant plan and overage terms.
Does a named view prove who watched?
No. A tracked link or email association can be forwarded or clicked by someone else. Verify the identification method and consent before acting on the signal.
Does downloading videos migrate the full account?
No. A video file is one asset. Check captions, transcripts, forms, settings and analytics separately.
