The short answer

  • Consider HubSpot when multiple teams need a shared customer record and its seat permissions fit the handoff. Consider Pipedrive when the sales pipeline and its connected tools fit the work.
  • HubSpot Sales Hub Professional starts at US$90 per Sales Seat per month annually, plus US$1,500 onboarding. Pipedrive Growth showed US$39 per seat per month annually. Confirm the current Pipedrive checkout.
  • Price the managers’ actual permissions and test a restricted record before deciding.

Start with the people and their work

A free or entry CRM may cover basic records and deal tracking. That starting price does not establish the cost of a sequence for every seller. HubSpot pricing lists free tools for up to two users and Sales Hub Professional for the more advanced sales workflow.

HubSpot’s sequence guide requires an eligible Professional or Enterprise subscription, an assigned Sales or Service seat, permissions and a connected individual inbox. Pipedrive Sequences starts on Growth. Verify each person’s rights and connected email before purchasing.

Price five sellers and two managers

Assume five sellers each need sequences, while two managers inspect records and reports. HubSpot Professional starts with one Sales Seat. Five Sales Seats at US$90 per month each total US$450 per month on annual billing, plus the one-time US$1,500 required onboarding. HubSpot Professional carries an annual commitment even when paying monthly. Taxes, other hubs and manager seats are excluded.

HubSpot’s seat guide says View-Only users cannot edit records or save reports. If either manager must perform those actions, ask HubSpot which paid seat and permissions are needed. Do not assume their access is free or add an unsupported manager total.

Five Pipedrive Growth seats at the observed US$39 annual rate total US$195 per month, or US$2,340 paid upfront for a year. Confirm the current Pipedrive checkout. Pipedrive bills unassigned seats too. Pipedrive’s access guide says deals access requires a paid seat. Include both managers and extras in the quote.

Separate sequences, workflows and marketing email

A sequence coordinates individual sales follow-up. A workflow can update records or route work, while marketing email addresses a different sending and consent problem. Confirm the seat, subscription and contact allowances for each job rather than treating them as interchangeable.

HubSpot’s workflow guidance distinguishes sequence automation from enrollment using general workflows. Confirm the edition for the specific action: general workflow enrollment requires Enterprise, while Professional can use automation within sequences. Pipedrive’s sequence guide describes manual and automatic emails and activity steps; its automations can enroll leads or deals.

Test ownership and restricted access

A shared record only helps if each team sees the right history and knows who owns the next action. HubSpot record access describes assigning access by team. Pipedrive permissions separates visibility from permission sets. Check the plan’s actual controls with an unauthorized user.

Give a manager the intended report and ask them to explain a seller’s open deals and next actions. Then change an owner and confirm what happens to the record, tasks and access. Neither the seat label nor a dashboard proves the handoff works.

Reconcile the move

HubSpot Smart Transfer documents supported mappings and limitations. Pipedrive export describes export methods and limits. Map contacts, deals, activities, owners and custom fields before importing; confirm attachments, associations and automation state separately.

Export a small sample, import it into the destination and compare identifiers, timestamps and associations. Keep an independent copy and agree who fixes missing history before closing the old system.

Trial a shared record

Use synthetic data and the same roles in both products.

Use the software trial guide to agree on acceptance criteria before the test.

Common questions

Do all HubSpot users need a Sales Seat?

The seat depends on the work. HubSpot requires an eligible assigned Sales or Service seat for sequences; View-Only seats cannot edit records or save reports.

Is the five-seller subscription the full cost?

No. The illustration excludes manager access, taxes, other subscriptions and integrations. HubSpot’s required onboarding is shown separately.
