The short answer

  • This guide uses vendor documentation checked November 5, 2026. We have not created, sent or signed a proposal in the product.
  • Proposify describes proposal creation, interactive quoting and e-signatures, with collaborator access distinct from full sender users.
  • Proposify’s pricing page contains different plan names and conflicting send-limit descriptions. Obtain a written quote for the account and edition.

Resolve plan and send limits

Proposify’s pricing page lists Build at $39 per user per month billed annually or $49 monthly, and Grow at $65 per user per month billed annually. Confirm minimum seats, currency, taxes, onboarding and the quote. The page also presents a Basic/Team/Business send-limit table and another table describing unlimited sends. These descriptions conflict; do not assume older limits map to current plans. Ask for the contracted send allowance, overages and renewal terms.

Proposify describes collaborators as users who can edit or approve specific proposals but cannot create or send them. Count full users, collaborators and external recipients separately. Confirm whether approvals, CRM connectors and Salesforce add-ons are included in the chosen edition.

Proposify warns that removing a user permanently deletes their creations. Verify ownership, reassignment and retention with the vendor before removing a user.

Control the proposal before it is sent

Proposify’s illustrated template guide shows how reusable templates support document creation. Set content owners, pricing and the buyer’s selectable options, then preview the actual proposal and PDF.

Proposify describes an approval step before certain users can send. Its role guide says permissions are still being expanded. Test a discounted proposal, a rejected approval and who can alter a draft or send without approval; confirm the exact current rules and edition.

Proposify says an approved document remains editable before or after it reaches the client. Confirm how material changes are detected and whether another approval is required; approval alone does not lock the content.

Distinguish sending, viewing and signing

Proposify describes document links, recipient analytics and e-signature. Confirm access restrictions, forwarding, signer verification, expiration and audit evidence for the plan and the specific agreement. A view is an engagement signal, not proof of intent to purchase or the identity of the viewer.

Agree where signed documents, signatures and audit records will be retained and exported. The validity of an electronic signature depends on the transaction, parties, identity, consent and applicable law; do not assume a feature alone meets every requirement.

Check when CRM values become final

Proposify’s HubSpot guide says linked CRM values update in the document as data syncs until it is signed or marked won, when values lock. Confirm when changes become visible, what the recipient sees and whether approval needs to be repeated after a material change.

Test a deal with changed line items, a rejected proposal and a signed proposal. Verify the final document, deal stage and any write-back in the CRM. Proposify distinguishes its new and legacy experiences, so confirm your account’s integration and permissions rather than assuming the same behavior across both.

Proposify describes coexistence of its new and legacy products and differences in migration and integrations. Confirm the product generation, content migration and required CRM connector before committing.
