The short answer
- This guide uses vendor documentation checked November 5, 2026. We have not created, sent or signed a proposal in the product.
- PandaDoc separates sender seats and document usage from recipient signing. Its Free plan has a shared document limit; integrations and automation can add costs.
- PandaDoc supports internal approval before a recipient receives a document. Verify who can change or bypass the workflow.
Count seats, documents and add-ons
PandaDoc’s pricing page lists Free with five documents created per month shared across the account, Starter at $19 per seat per month billed annually, and Business at $49 per seat per month billed annually. It lists unlimited UI-created documents on paid plans, but API and automation use can require credits. Confirm taxes, billing cycle and the exact quote.
The Free plan guide describes five sends per month and two recipients per document for new monthly accounts, while the pricing matrix calls its shared limit five documents created per month. Confirm how the account counts creation and sends before relying on either description.
Recipients are not automatically the same as internal sender seats. Count the people who create, administer or approve documents. PandaDoc lists Business approval workflows and marks CRM integrations with a usage-credit or paid-add-on note; confirm the specific integration and role entitlements.
Create and approve the right document
PandaDoc’s workflow guide describes an early-access experience where a template can pull CRM data, assign recipients and signing order, and collect missing variables. Check names, prices and required fields before submission; an internal approver is not the buyer’s signer.
PandaDoc describes template-based approval before sending and says eligible users can edit approvals in a draft. PandaDoc lists conditional quote approvals as a Business add-on. Test a threshold, rejection and resubmission with the actual roles and plan.
Protect links and preserve evidence
PandaDoc says each recipient has a unique link and is identified through it. A forwarded link may therefore be used by someone other than the intended person; configure suitable recipient verification and avoid treating link possession as identity proof.
PandaDoc documents an audit trail and CSV export. Decide which completed document, certificate and activity records to retain and where they belong. Signature validity depends on the transaction, identity, consent and applicable law; review the requirements for the agreement.
PandaDoc says editing a sent document creates a new version and erases signatures and initials already added, requiring recipients to sign again. Set a controlled change and reapproval process.
Verify CRM sync in both directions
PandaDoc describes HubSpot integration on eligible Business and Enterprise plans. PandaDoc describes status-based updates and identifies external automations as an add-on on Business. Verify which fields pull into the document, which events write back and who owns errors.
Test a changed price, declined signature and accepted document against a synthetic deal. Confirm the final signed artifact and deal stage in the CRM; a status notification alone is not proof that all fields synchronized.
How to compare the alternatives
Compare Proposify and Qwilr on the same proposal, recipients and approval rules. The PandaDoc vs Proposify comparison compares the document workflows. See the CRM software guide for the system receiving deal updates.
Common questions
Are recipients the same as sender seats?
PandaDoc prices paid plans by seat and documents have usage limits or conditions. Confirm the internal roles and recipient requirements for your agreement.
Does a unique link prove who signed?
PandaDoc identifies recipients through their links and offers verification for extra security. Assess the assurance required for the transaction.
