The short answer
- UserGuiding is worth evaluating if you can plan around its documented guide cutoff and identity setup.
- Userpilot is worth evaluating for native mobile engagement when its annual add-on and plan requirements fit.
- Appcues subscription guidance counts anonymous identifiers and scheduled experiences toward their respective allowances.
- For each quote, ask what happens above the MAU limit and test the same journey before moving.
UserGuiding
Consider UserGuiding when a clearly stated delivery boundary helps you plan capacity. Its identity model also makes the implementation an important part of the purchase.
UserGuiding pricing defines MAUs as unique users active in the previous thirty days. Its FAQ says guides stop displaying above quota until quota increases or usage falls. Get the notification and recovery procedure in writing.
UserGuiding identification guidance says default identifiers and history live in browser storage. A different browser or cleared storage can generate another identifier for the same person. With identification enabled, supplied IDs determine MAU counting and history persists in cloud storage.
For example, a user opens the product in a browser and returns on another device. The default model can produce another identifier. Forecast that possibility before comparing a quote with your count of individual customers.
UserGuiding setup guidance says active guides stop appearing after identification is enabled until a correct user ID is supplied. Coordinate that change with a developer and test the handoff before applying it to live traffic.
UserGuiding’s users page displays up to 10,000 users, while its CSV can include all user data. Inspect a sample export for the fields you need. The display limit alone does not prove what a migration will preserve.
Ask for the included staff seats and their cost, along with the plan price for your estimated audience. The vendors’ pages do not provide comparable seat prices. Include the person who will maintain each guide in the estimate.
Userpilot
Consider Userpilot if native mobile engagement is a priority and your budget can accommodate its documented add-on requirements. Validate the runtime and plan before comparing the authoring experience.
Userpilot mobile guidance requires an installed SDK and an annually purchased mobile add-on on Growth or Enterprise. Starter users must upgrade. Custom mobile-content roles require Enterprise, making access control part of the quote.
Userpilot pricing lists native iOS and Android support and mobile engagement as add-ons. It labels mobile session replay as coming soon. Current documentation therefore does not support an older description of Userpilot as web-only.
If your team changes mobile screen tracking, map the old names to the new ones before rollout. Userpilot screen tracking guidance says automatic capture ignores manual screen calls. Changed names can prevent engagements from triggering or split analytics.
Message frequency needs separate checks as well. Userpilot ordering guidance separates push controls from the shared in-app throttle for carousels and slideouts. Queue competing messages for a synthetic user and record which one appears.
Userpilot’s documentation does not provide a comparable MAU definition or overage delivery rule. Ask for both in the proposed plan, along with staff seats and their price. Do not assume the UserGuiding cutoff applies.
Moving from Appcues also means checking data and rebuilding work. Inventory your targeting rules and experiences before trialing a replacement. Request a sample export and ask whether definitions can be imported; the vendors do not document a portable migration.
Compare the delivery decisions
Use a common audience and the same planned launch to make the quotes comparable. The table records the evidence available for each product and leaves unsupported terms open.
| Product | Usage and delivery | Implementation decision | Ask before buying |
|---|---|---|---|
| Appcues | Anonymous identifiers count toward MAUs; scheduled and live experiences count toward the published allowance | Segment edits affect connected experiences immediately | Price, seats and overage delivery |
| UserGuiding | Unique users active in the previous thirty days; guides stop above quota until quota increases or usage falls | Correct user ID is required after identification is enabled | Seat price and recovery timing |
| Userpilot | MAU definition and overage behavior require confirmation | Native mobile content requires an SDK and annual add-on on Growth or Enterprise | MAU terms, seats and mobile access |

The quota consequence is confirmed for UserGuiding only. Ask Appcues and Userpilot how their quoted plans handle an exceeded limit, including delivery and any charge. A shared label for MAUs does not prove the same counting rule.
Use one synthetic user journey in each trial. Record identifiers before login, then identify the user and repeat on another device. Compare the audience meter with the expected count and keep the plan terms beside the results.
Next, have the intended author change targeting and inspect what the test user sees. Record the permissions required and the time needed to repair a renamed screen. Test exports before removing the original experience.
Prepare a switch
Protect the live onboarding journey while you evaluate a replacement. A data export and a working guide are separate outcomes.
Appcues public API guidance covers bulk event export and historical imports, as well as flow publication. It does not prove that another product can import a complete Appcues experience. Save the rules and content needed to rebuild each important journey.
Start with a guide used by a limited synthetic cohort. Document its trigger and intended product action, then reproduce the journey in each candidate. Compare what the user sees after login and after a targeting change.
Ask each vendor which historical fields can be exported and how long they remain available after cancellation. Open the file and inspect the identifiers with the person responsible for analytics. Keep the existing guide available until the replacement has passed your acceptance checks.
A successful test of one path does not prove support for every app runtime. Repeat the exercise on the actual mobile stack if that is part of the purchase. Record outstanding questions in the contract discussion.
When to stay with Appcues
Stay with Appcues when its documented targeting and runtime fit your product, and the quoted allowances cover your planned work. A move carries rebuilding and identity risks that should earn their cost.
Appcues pricing lists Start with up to 3,000 MAUs and ten published experiences. Appcues’s pricing page does not give a numerical price, so compare your actual quote with alternatives instead of inferring a saving.
Appcues subscription guidance counts anonymous identifiers and both scheduled and live experiences. If those allowances accommodate your traffic and release calendar, the existing setup may remain practical. Ask for the overage rule before a major launch.
Appcues segment guidance applies rule changes immediately to connected experiences. That can suit a team with a clear owner for targeting. Test the effect of an edit and maintain a record of the rules used for reporting.
Appcues framework guidance lists several native and cross-platform runtimes, with Cordova excluded. If your runtime is supported and the existing flow works in your trial, compare a switch against the effort of rebuilding it. The Appcues guide covers its usage and targeting decisions in more detail.
Common questions
Which Appcues alternative is best?
If a documented quota cutoff is central to capacity planning, evaluate UserGuiding. If native mobile engagement is central, check Userpilot’s plan and add-on terms.
Will UserGuiding guides continue above quota?
UserGuiding pricing says guides stop displaying until the quota increases or usage falls.
Is Userpilot web-only?
No. Userpilot pricing lists native iOS and Android support as add-ons and labels mobile session replay as coming soon.
Can we transfer Appcues guides unchanged?
The vendors’ pages do not document portable guide definitions. Ask the prospective vendor and test a representative rebuild before switching.
