The short answer
- This guide uses vendor documentation checked November 5, 2026. We have not tested the product.
- SmartSuite sets seat minimums and counts records across the tables in a solution.
- SmartSuite gates dynamic record permissions by plan. Test the reviewer role and linked data before relying on a filtered view.
Forecast members and solution growth
SmartSuite bills per workspace; a person belonging to two workspaces counts in both. Adding a member above the seat count produces a prorated charge; removing one does not immediately reduce the current bill, but the seat can be reused. Confirm guest terms for your contract.
SmartSuite lists Team at 5,000 records per solution and 50 GB file storage per workspace, and Professional at 100,000 records per solution, 50,000 per table and 100 GB storage. A solution’s limit includes records across its tables.
SmartSuite lists Team at $15 per seat per month annually or $20 monthly with a three-seat minimum; Professional is $32 annually or $36 monthly with five seats minimum. It says read-only members and commenters are free, while members with edit permissions are billed. The marketing pricing page and help page show different Enterprise minimums, so confirm it in a quote.
Design solution and table access
SmartSuite describes workspace roles and solution permissions, with table permissions able to replace the solution list for a table. Its shared views guide distinguishes read-only sharing from invitations for editing. Verify sensitive records, attachments and public links with representative roles.
SmartSuite lists dynamic record permissions on Enterprise. A filtered view alone should not be treated as a security boundary; verify the role and entitlement for each reviewer.
For a vendor-hosted example of the interface, see the SmartSuite grid guide.
SmartSuite warns that linked and lookup values can appear in public shared views even if the linked table is not shared. Check shared fields and the signed-out view before publication.
Control action and API usage
SmartSuite’s automation guide counts monthly automation actions and API requests separately. With auto-billing on it purchases additional blocks; with it off automations pause at the allowance and API traffic is throttled then blocked above the documented threshold. Assign an owner to usage alerts and failed downstream updates. SmartSuite’s pricing page uses “runs” while the limits guide uses “actions” for the monthly allowance; verify how the actual workflow is counted.
Rebuild the workflow, not just the rows
SmartSuite documents CSV and Excel imports subject to per-import and plan limits. Before migrating, export a representative view and verify linked records, files, field types, permissions and automations at the destination. A row export alone does not establish complete application portability.
SmartSuite says a view export includes visible fields and matching records, but excludes attachments and comments; each table is exported separately. Download needed files and plan how to rebuild the linked workflow.
How to compare the alternatives
Compare Airtable and Baserow against the same records, roles and automation workload. The Airtable vs SmartSuite comparison examines their buying trade-offs. See workflow automation for cross-system handoffs.
Common questions
Does a data export reproduce the complete application?
A records export should not be assumed to reproduce permissions, interfaces and automations. Inventory and test each part of the migration.
How should we estimate capacity?
Model growth, attachments, participants and automated actions against the vendor’s current plan limits, then confirm the scope of each limit.
