The short answer
- This guide uses vendor documentation checked November 5, 2026. We have not tested the product.
- Airtable bills Team commenters as well as editors; read-only collaborators are not billed.
- Airtable says an interface filter changes what appears on a page but does not decide who can open it. Check every route to the data.
Estimate seats and base limits
Airtable says self-serve Team bills workspace and base collaborators with Commenter or higher permissions; self-serve Business bills Editor and above. Read-only access is included. Account terms and interface-only collaborators need separate review before inviting a large audience.
Airtable describes a Team limit of 50,000 records and 20 GB of attachments per base, with records summed across its tables. Forecast related records and attachments for each base rather than treating this as a workspace-wide allowance.
Airtable’s pricing page lists Team at $20 and Business at $45 per user per month billed annually. Its billing guide lists $24 and $54 per month respectively on monthly billing. Its general pricing FAQ uses editor-based language, while the billing guide explicitly includes Team Commenters. Confirm the roles and billing terms on the actual workspace.
Separate interfaces from underlying data
Airtable describes publishing interfaces and sharing them with collaborators. Base permissions continue to apply to base collaborators, and field and table permissions are respected in interfaces. Check exactly what each user can open and change using a representative restricted account.
Airtable says page filters change the displayed records but do not determine who can open a page. Base access may provide other routes to the data; a hidden field or filtered view is not, by itself, an enforced access boundary.
For a vendor-hosted example of the interface, see the Airtable views guide.
Airtable warns that data behind public interface charts and conditionally hidden record fields may be visible through network inspection. Do not place sensitive data behind a display-only condition.
Budget and monitor automation
Airtable counts each triggered automation as a run, including failed or canceled runs, and resets the allowance on the first of the month. Check the plan’s allowance, service connections and error handling; a trigger does not prove that a downstream write succeeded.
Plan an exit before building
Airtable describes exporting each grid view separately as a CSV; filters affect which records are included. CSV records alone are not a complete base migration: inventory attachments, relationships, formulas, interfaces, permissions and automations, then rehearse reconstruction.
How to compare the alternatives
Compare SmartSuite and Baserow against the same records, roles and automation workload. The Airtable vs SmartSuite comparison examines their buying trade-offs. See workflow automation for cross-system handoffs.
Common questions
Does a data export reproduce the complete application?
A records export should not be assumed to reproduce permissions, interfaces and automations. Inventory and test each part of the migration.
How should we estimate capacity?
Model growth, attachments, participants and automated actions against the vendor’s current plan limits, then confirm the scope of each limit.
