## The short answer

- This guide uses vendor documentation checked November 5, 2026. We have not tested the product.
- [Baserow](https://baserow.io/user-docs/subscriptions-overview) treats cloud and self-hosted seats differently; its published role rules also vary by plan.
- [Baserow](https://baserow.io/user-docs/permissions-overview) says role-based controls deactivate when the applicable plan or license expires. Plan access and recovery before a downgrade.

## Choose a deployment and budget

[Baserow](https://baserow.io/pricing) lists cloud Free with 3,000 rows and 2 GB storage per workspace, and Premium with 50,000 rows and 20 GB. Its [general pricing guide](https://baserow.io/user-docs/pricing-plans) describes billing active non-viewers, but its [subscription guide](https://baserow.io/user-docs/subscriptions-overview) says Cloud Premium bills every workspace collaborator. On Cloud Advanced, Editor, Builder and Admin are billable while read-only roles are not. Confirm the plan, role and application-user charges.

[Baserow](https://baserow.io/user-docs/set-up-baserow) says self-hosting requires the customer to manage infrastructure, updates and scaling; advanced self-hosted features require a paid license. Unlimited vendor plan usage does not remove hardware, backup or operating constraints.

[Baserow](https://baserow.io/pricing) lists cloud Premium at $10 per user per month annually or $12 monthly, and Advanced at $18 annually or $22 monthly. Its [self-hosted license guide](https://baserow.io/user-docs/self-hosted-licenses) distinguishes manually assigned Premium and Advanced seats from instance-wide Enterprise licensing. Budget infrastructure, maintenance, security and backups separately. Baserow’s current cloud pricing also lists Enterprise, so do not assume that the older license description applies to every deployment; confirm your quote.

## Build and test an application

[Baserow](https://baserow.io/user-docs/application-builder-overview) describes an Application Builder for interfaces and portals with internal or external audiences. Verify each role’s actual data access, editing and publishing permissions, including plan restrictions, with representative test users before exposing sensitive records.

For a vendor-hosted example of the interface, see the [Baserow grid guide](https://baserow.io/user-docs/guide-to-grid-view#grid-view).

[Baserow](https://baserow.io/user-docs/view-level-permissions) says restricted views can enforce row and column access when the user does not have broader inherited access. Its [permissions guide](https://baserow.io/user-docs/permissions-overview) says granular controls require Cloud Advanced or self-hosted Enterprise, but the [subscription guide](https://baserow.io/user-docs/subscriptions-overview) describes role-based access on self-hosted Advanced. Confirm the self-hosted entitlement. The permissions guide also says an expired Advanced plan or Enterprise license deactivates role-based controls and makes users Members with broad access. Review access before a downgrade or expiration.

## Watch credits and execution

[Baserow](https://baserow.io/user-docs/baserow-automation-credits) says cloud automation credits depend on executed actions and workflow frequency; workflows and manual tests stop when the allowance is exhausted. The guide describes both billing-month and calendar-month reset language, so confirm the reset for your workspace. It says self-hosted automation usage is not metered by these credits.

Its [cloud pricing table](https://baserow.io/pricing) lists 2,000 automation credits per workspace per month on Free, 100,000 on Premium and 500,000 on Advanced. Check action-node costs and actual workflow volume before forecasting usage.

## Test migration in both directions

[Baserow](https://baserow.io/user-docs/export-workspaces) describes workspace exports and attachment inclusion. Its [deployment guide](https://baserow.io/user-docs/set-up-baserow) describes cloud-to-self-hosted workspace import, but says a cloud subscription cannot be converted into a self-hosted license. The reverse path may require recreating fields, views and permissions or support assistance. Verify the archive, trust settings and restore before relying on migration.

## How to compare the alternatives

Compare [Airtable](https://quillwell.com/guides/software/airtable/) and [SmartSuite](https://quillwell.com/guides/software/smartsuite/) against the same records, roles and automation workload. The [Airtable vs SmartSuite comparison](https://quillwell.com/guides/compare/airtable-vs-smartsuite/) examines their buying trade-offs. See [workflow automation](https://quillwell.com/guides/software/zapier/) for cross-system handoffs.

## Common questions

### Does a data export reproduce the complete application?

A records export should not be assumed to reproduce permissions, interfaces and automations. Inventory and test each part of the migration.

### How should we estimate capacity?

Model growth, attachments, participants and automated actions against the vendor’s current plan limits, then confirm the scope of each limit.
