## The short answer

- [PandaDoc Business](https://www.pandadoc.com/pricing/) and [Proposify Grow](https://www.proposify.com/pricing) list approval workflows. The right comparison is the complete approval, CRM and recipient process for your account, including seats and add-ons.
- [Proposify’s approval guide](https://support.proposify.com/hc/en-us/articles/54366437525147-Approval-Workflow) says an approved document remains editable. PandaDoc’s [classic guide](https://support.pandadoc.com/en/articles/9714799-approval-workflow-classic-experience) says authorized users can change approval workflows. Check the controls on the actual roles and version before relying on either process.

## Use one proposal workload

Assume three authors, one separate internal approver, 50 proposals per month and two external signers per proposal. A single CRM supplies the client and opportunity details, and a reusable price list contains recurring services, setup fees and an optional item. No payment volume or processing fees are assumed.

Each team must create the proposal, check a discount, obtain approval, send it to both signers and hand the completed scope to delivery. This is an illustration, not a tested implementation or invoice. Ask how each account counts people, documents, sends and any re-sends.

## Count people and usage before comparing prices

[PandaDoc](https://support.pandadoc.com/en/articles/9715033-compare-subscription-plan-features) lists Business at $49 per seat per month billed annually or $65 month-to-month. Four standard seats at the annual rate would be $196 per month equivalent before taxes and add-ons, if all four people require those seats. Confirm the approver’s license and recipient rules; an external signer is a different role from an internal author.

[Proposify](https://www.proposify.com/pricing) lists Grow at $65 per user per month billed annually, with approval workflows. Three author seats at that rate would be $2,340 per year before taxes and add-ons, but the page does not establish a current minimum or a purchasable three-seat package. Its table lists three included [collaborators](https://support.proposify.com/hc/en-us/articles/34425247025691-Collaborator-Users); a collaborator can edit or approve invited documents but cannot create or send. Confirm the approver’s eligibility, minimum seats, onboarding and contract terms in a quote.

[PandaDoc’s Free guide](https://support.pandadoc.com/en/articles/9715030-pandadoc-free-plan-guide) limits new Free accounts to five sends per month and two recipients per document; that does not fit 50 proposals, even before the other requirements. Its paid-plan guide lists unlimited sends with qualifications. API, form and automation-generated documents can use [Usage Credits](https://support.pandadoc.com/en/articles/9715032-account-billing-and-ownership); distinguish those from ordinary UI creation.

[Proposify’s pricing page](https://www.proposify.com/pricing) advertises unlimited documents and signatures on Build, while another table on the same page describes Basic, Team and Business send limits and overages. A separate table says unlimited sends. The page does not establish how those older labels map to Build and Grow. Ask for the applicable send definition, allowance, re-send treatment and written quote for 50 proposals.

## Build and verify the same price

[PandaDoc’s quote builder](https://support.pandadoc.com/en/articles/9714713-add-and-set-up-quote-builder) documents recipient-selectable optional items and quantity changes, alongside pricing and recurring-payment options. Its [HubSpot mapping guide](https://support.pandadoc.com/en/articles/9714722-hubspot-crm-map-product-fields-with-quote-builder-columns) says selected product fields populate quote columns, but text cannot populate numeric columns and net price and subtotal cannot be passed into the quote.

[Proposify’s HubSpot guide](https://support.proposify.com/hc/en-us/articles/37746502395803-HubSpot-integration) describes pulling contact, company, deal and line-item data into a document and sending document activity and status back. Confirm the CRM edition, object fields, recurring-price treatment and plan before assuming the same output as PandaDoc.

With synthetic records, compare a one-time fee, recurring service, optional item, discount, tax and total in the CRM, draft and recipient view. A connected integration is not evidence that the exact quote or acceptance has reached the right record.

## Test approval as a control

[PandaDoc](https://support.pandadoc.com/en/articles/9714799-approval-workflow-classic-experience) describes classic template-level approval on Business and Enterprise. In that experience, the account owner, Admin or Manager can act as a configured approver; a Collaborator cannot. Authorized roles can change or disable the workflow, and conditional approval is a Business add-on. Its [new-experience guide](https://support.pandadoc.com/en/articles/14809559-approval-workflow-new-experience) describes a separate workflow builder. Check which experience and permissions apply.

[Proposify](https://support.proposify.com/hc/en-us/articles/54366437525147-Approval-Workflow) says a role can require approval before sending, optionally triggered by price or discount thresholds. Its guide also says users may edit after approval, before or after the client receives the document. An approval record alone does not prove the exact final text stayed unchanged.

Have the approver reject a synthetic discount, then revise it and check who can resubmit, change approval settings or send. After approval, make a change and observe whether approval must be repeated. Preserve the approved version and review the final recipient view before sending.

## Send to two signers and protect the link

Assign each signer’s fields and signing order where supported, then verify the recipient view, reminders and completion record. Internal approval is a separate step from the recipients’ signatures. Neither the presence of a signature field nor an audit record guarantees enforceability in every transaction or jurisdiction.

[Proposify](https://support.proposify.com/hc/en-us/articles/37745954170651-Sharing-documents-by-copying-the-link) says anyone with a copied document link can view it by default, with an email identification prompt. Treat that prompt as a way to identify a viewer, not proof of identity or exclusive access. Verify recipient authentication, sharing and expiry controls for the account and sensitivity of the document.

[PandaDoc](https://support.pandadoc.com/en/articles/9714684-edit-sent-documents) says editing sent content returns the document to draft and erases filled fields, requiring a resend. Check what each recipient sees and whether signatures need to be collected again after any revision.

## Preserve the artifact and verify the CRM

[PandaDoc’s HubSpot guide](https://support.pandadoc.com/en/articles/9714877-hubspot-crm-new-experience) identifies Business and Enterprise availability and distinguishes a paid Business external-automations add-on. [Proposify](https://support.proposify.com/hc/en-us/articles/37746502395803-HubSpot-integration) documents activity and status updates to HubSpot, while its [troubleshooting guide](https://support.proposify.com/hc/en-us/articles/37747462615195-Integration-connectivity-problems) identifies permissions, filters and sync delays as possible failure points. Confirm which status, fields and attachments move in the actual configuration.

Download the completed document and its available evidence for the delivery owner, then inspect the CRM record rather than treating a notification as confirmation of a successful update. [Proposify](https://support.proposify.com/hc/en-us/articles/39519674997787-Downloading-documents-as-PDFs) describes PDF download; test whether the buyer’s final options and signatures are represented as needed. Check retention, access on cancellation and ownership of reusable templates separately.

[Proposify](https://support.proposify.com/hc/en-us/articles/47520517306395-New-Proposify-3-vs-Legacy-Proposify-2-What-s-the-difference) describes a newer 3.0 beta alongside legacy 2.0 with differing content and feature availability. Confirm the account version, migration status and integration before using a screenshot or plan description from another version.

## Choose with a controlled trial

Compare [PandaDoc](https://quillwell.com/guides/software/pandadoc/) and [Proposify](https://quillwell.com/guides/software/proposify/) using the same proposal and approval cases. Consider [Qwilr](https://quillwell.com/guides/software/qwilr/) when the recipient experience is a primary decision and compare its interactive page with the artifact delivery needs.

## Common questions

### Does a signer need the same seat as an author?

A recipient, an author and an approver have different jobs. [Proposify](https://support.proposify.com/hc/en-us/articles/34425247025691-Collaborator-Users) describes restricted collaborator seats, while [PandaDoc](https://support.pandadoc.com/en/articles/9714799-approval-workflow-classic-experience) limits who can approve in its classic workflow. Confirm each person’s role and license in the quote.

### Is an approved proposal locked against changes?

Not automatically. [Proposify](https://support.proposify.com/hc/en-us/articles/54366437525147-Approval-Workflow) says a document may be edited after approval. Check the workflow, roles and evidence of the final sent version.

### Does the proposal automatically update the CRM correctly?

A supported integration is a starting point. Check the specific fields, status and destination; [Proposify](https://support.proposify.com/hc/en-us/articles/37747462615195-Integration-connectivity-problems) notes permissions, filters and delays can affect synchronization.
