## The short answer

- For five hosts with straightforward booking or HubSpot owner routing, start with Calendly Teams. Its published entry cost is much lower, and it already supports qualification and routing; describing it as only a booking link would miss the relevant features.
- Shortlist Chili Piper when the problem spans form qualification, account ownership and SDR-to-AE handoffs, with someone responsible for maintaining those rules. Its broader workflow must justify the platform minimum; a calendar-only requirement is a weak reason to buy it.
- The CRM changes the comparison: [Calendly HubSpot lookup](https://calendly.com/help/how-to-set-up-routing-with-hubspot-lookup) is on Teams and above, while [Salesforce lookup](https://calendly.com/help/how-to-set-up-routing-with-salesforce-lookup) requires Enterprise. Compare qualified workflows, not just the cheapest seat price.

## Separate five decisions before choosing a tool

Scheduling finds an available time. Qualification decides whether someone should book. Routing chooses the eligible person or pool. Ownership decides who remains responsible in the CRM. Handoff passes context and the next action to that person. A meeting on a calendar proves only part of this workflow.

Published capabilities, not observed performance. Match each workflow to the quoted plan and CRM.

| Decision | Calendly | Chili Piper |
| --- | --- | --- |
| Booking and distribution | Teams includes round robin and managed event types. | ChiliCal handles scheduling; Concierge connects a form submission to a meeting. |
| Qualification | Routing can use form answers; CRM lookup has separate prerequisites. | Concierge applies rules after form submission; design disqualified and unmatched paths. |
| Existing owner | HubSpot lookup on Teams and above; Salesforce lookup on Enterprise. | Concierge documents ownership rules for Salesforce and HubSpot objects. |
| Rep-to-rep handoff | Check booking-on-behalf and CRM updates against your acceptance criteria. | Handoff is a dedicated workflow; Distro concerns CRM record distribution. |

## The CRM determines the real plan gate

[Calendly HubSpot lookup](https://calendly.com/help/how-to-set-up-routing-with-hubspot-lookup) supports Contact and Company owners on Teams, Teams Plus and Enterprise. It requires Managed Events, an admin connection and matching Calendly/HubSpot user emails. HubSpot can be free or paid. Put the ownership route before other routes so an existing customer is considered before the general pool.

[Salesforce lookup](https://calendly.com/help/how-to-set-up-routing-with-salesforce-lookup) requires both Calendly Enterprise and Salesforce Enterprise or higher, plus admin access and matching user emails. It can use Account, Contact, Lead or Opportunity data. Teams can send meetings to Salesforce, but that does not give it the Enterprise ownership-lookup feature.

[Concierge](https://help.chilipiper.com/hc/en-us/articles/29034829613715-Welcome-to-Concierge-Glossary-and-First-Steps) documents Salesforce ownership across Lead, Contact, Account and Opportunity, and HubSpot ownership across Contact, Company, Deal and Ticket. Its CRM actions need the company connection; hosts also connect their calendars. An integration logo does not establish identical object support across modules. Ask the vendor to demonstrate your specific CRM, object, match rule and writeback.

Routing a visitor to the current owner and changing record ownership are different actions. Specify which wins when a Contact owner differs from an Account or Company owner. For a new prospect, decide who creates the record, who assigns the owner, and what happens if the CRM has not finished creating it when the booking starts.

[Calendly’s Salesforce lookup FAQ](https://calendly.com/help/routing-with-salesforce-lookup-faqs) says Salesforce Shield probabilistic encryption prevents routing on those fields. Deterministic encryption supports exact, case-sensitive matches, not domain-only, LIKE or STARTS WITH matching. Include the actual encrypted fields and fallback in the trial.

## Price an illustrative five-host, one-CRM workload

Assume five meeting hosts, one existing CRM, one demo form, a shared pool for new qualified prospects and an owner route for existing customers. This is an illustrative buying scenario, not a measured customer deployment. CRM subscriptions, tax, implementation work and optional services are excluded. Prices checked November 5, 2026.

Annual list-price arithmetic for the stated workload; different bundles, not feature-equivalent quotes.

| Configuration | Published USD cost | What five hosts actually buy |
| --- | --- | --- |
| Calendly Teams, yearly billing | $16 per seat/month; five = $80/month equivalent, $960/year | Scheduling, form routing and eligible HubSpot owner lookup. |
| Calendly Enterprise for Salesforce lookup | Starts at $15,000/year; starts at 50 seats | Do not calculate five Enterprise seats from the Teams rate. Obtain a quote. |
| Chili Piper Growth | $1,250/month equivalent; $15,000/year, billed annually | 15 seats included; five hosts still face the platform starting price. Extra seats $45/month each. |
| Chili Piper Scale | $3,500/month equivalent; $42,000/year, billed annually | 30 seats included; extra seats $50/month each. A broader tier, not required merely because five people schedule. |

[Chili Piper pricing](https://www.chilipiper.com/pricing) includes 45,000 annual AI credits in Growth and 150,000 in Scale. Confirm credit consumption, overages, required modules and implementation terms in writing. Standalone ChiliCal is $12/user/month with a 200-seat minimum and excludes orchestration and routing; it is not a five-seat alternative to Growth. Monthly billing is not offered.

If Salesforce ownership is mandatory, the published annual starting prices converge, even though the bundles and included seats differ. If HubSpot ownership is sufficient, Calendly Teams has a materially lower entry cost. Price the missing workflow and its administration before deciding the larger bundle earns its premium.

## Inspect the owner after the meeting is booked

[Chili Piper Handoff](https://help.chilipiper.com/hc/en-us/articles/29792079381267-Welcome-to-Handoff-Glossary-and-First-Steps) describes routing meetings between teams, with rules, teams and CRM connections configured by administrators. That makes it a relevant shortlist when an SDR must book the correct AE and preserve context. [Distro](https://help.chilipiper.com/hc/en-us/articles/18006933617043-Welcome-to-Distro-Glossary-and-First-Steps-for-Admins) addresses record distribution; evaluate it separately when assignment must happen even without a meeting.

The [Concierge flow guide](https://help.chilipiper.com/hc/en-us/articles/28522554434323-Creating-a-Concierge-Flow) explicitly provides Update Ownership nodes for Salesforce and HubSpot. Selecting a meeting assignee does not, by itself, establish that CRM ownership was updated. Configure the ownership action on the relevant path, and create a missing record before attempting dependent CRM actions.

For either product, trace one form submission through the calendar event, CRM activity, contact and account owner, source fields and next task. Ask whether a cancellation or reschedule updates the original record or creates another. Check whether a host change updates ownership or only the calendar. Treat these as acceptance tests, not assumed integration behavior.

Define a fallback owner and follow-up deadline for unmatched records, unavailable owners, disconnected calendars and failed CRM writes. Decide whether fallback may bypass an existing account owner. A booking count alone will not reveal a lead that reached a calendar but lost its accountable seller.

## When each option earns its place

Our editorial judgment: choose Calendly first when the team needs governed scheduling, a manageable routing tree and a CRM that meets the relevant lookup requirements. It is also the stronger starting point for a small HubSpot team whose exceptions can be handled with a clear fallback process.

Choose Chili Piper for evaluation when form-to-meeting conversion and coordinated sales handoffs are recurring operational problems, and the team can maintain ownership and distribution rules. Require a demonstration of those exceptions before accepting the annual platform commitment. We have not measured conversion uplift or implementation effort.

Stay with your existing CRM scheduler if it meets the acceptance tests and neither product removes enough manual work to justify migration. If ownership data is unreliable, fix that policy first: buying another router will not decide which of two conflicting owners should win.

## Run the same ownership and fallback trial

Use synthetic records and calendars you control. Record the expected host, CRM owner and next action before each case. These are proposed tests; we have not run them.

Make success mean the correct host, correct CRM owner, preserved context and visible recovery for every case. Use the [software trial guide](https://quillwell.com/guides/software-trial/) to assign a decision owner.

## Common questions

### Does Calendly Teams route to a CRM owner?

For HubSpot, yes: [lookup documentation](https://calendly.com/help/how-to-set-up-routing-with-hubspot-lookup) lists Teams and above. For Salesforce, [lookup requires Enterprise](https://calendly.com/help/how-to-set-up-routing-with-salesforce-lookup). Sending booked meetings to Salesforce is a separate capability.

### Can five hosts buy five Chili Piper Growth seats?

The [published Growth package](https://www.chilipiper.com/pricing) starts with 15 seats and annual billing. Budget the platform minimum, not five times an additional-seat rate.

### Is Chili Piper always better for inbound sales?

No. The right choice depends on the ownership rules, exception paths and handoffs you need. Calendly also qualifies and routes leads. A larger workflow platform earns its cost only if those additional operations matter to your team.

## Sources and scope

We read linked vendor pricing and documentation on November 5, 2026. This is document research, not hands-on testing; we have not tested routing, CRM sync, reliability or conversion performance.

The five-host, one-CRM workload is illustrative. Prices are published USD starting prices and annual-billing equivalents, not a negotiated quote. Confirm current eligibility and contract terms.
