## The short answer

- [Airtable](https://support.airtable.com/articles/1636857517-how-airtable-collaborators-impact-billing) and [SmartSuite](https://help.smartsuite.com/en/articles/4789240-smartsuite-plans-features-and-pricing) count records and bill collaborators in different containers. Establish the reviewer role and the required security control before comparing the headline rates.
- A shared filter is not proof of restricted access. [Airtable](https://support.airtable.com/articles/2193541120-interface-designer-permissions) distinguishes interface filters from access control; [SmartSuite](https://help.smartsuite.com/en/articles/6950055-smartsuite-permissions) describes role and record-permission options with plan gates.

## Compare the same operational workflow

Assume five editors, two reviewers, 20,000 records across five related tables, 5 GB of attachments and 1,000 monthly automation triggers. The two reviewers must see only their assigned records. This is an illustration, not a tested deployment or a quote.

Assume the five editors include any owner or administrator who edits. The reviewer identities, exact permissions, number of actions per automation and need for external integrations are not specified. Each can change the actual cost and eligible plan.

## Size the base and the solution

[Airtable](https://support.airtable.com/articles/2277136852-airtable-plans-overview) lists 50,000 records and 20 GB of attachments per base on Team. [SmartSuite](https://help.smartsuite.com/en/articles/4789240-smartsuite-plans-features-and-pricing) lists 5,000 records per solution on Team, so that tier does not fit all 20,000 records in one solution. Professional lists 100,000 records per solution, 50,000 per table and 100 GB of workspace storage.

The scope matters: a base is not a workspace and a SmartSuite solution is not a table. These capacity comparisons assume one Airtable base and one SmartSuite solution; confirm attachment totals, connected records and growth. Capacity alone does not prove that either plan meets the reviewer-access requirement.

## Count editors and reviewers by role

[Airtable’s billing guide](https://support.airtable.com/articles/1636857517-how-airtable-collaborators-impact-billing) lists Team at $20 per billable collaborator per month billed annually or $24 monthly. Five billable editors at the annual rate would be $100 per month equivalent before tax and add-ons. Team also bills commenters; two additional commenters would make seven seats, or $140 per month equivalent. Read-only collaborators are not billed. The [pricing FAQ](https://airtable.com/pricing) uses broader editor-only wording, so check the actual account billing view.

[SmartSuite](https://help.smartsuite.com/en/articles/4789240-smartsuite-plans-features-and-pricing) lists Professional at $32 per billable user per month billed annually or $36 monthly, with a five-seat minimum. Five eligible editors would be $160 per month equivalent on annual billing before tax and add-ons. Its pricing page says read-only users, commenters and form submitters are free. Confirm which reviewer role, if any, fits the workflow.

These are seat illustrations, not complete quotes or proof that an eligible secure configuration exists. If the reviewers must be paid editors, if more workspaces or integrations are involved, or if the plan must change for access controls, recalculate the comparison.

## Test assigned-record access

[Airtable](https://support.airtable.com/articles/4255096925-managing-and-sharing-airtable-interfaces) supports interface-only collaborators on paid plans who cannot open the underlying base. Its [interface guide](https://support.airtable.com/articles/2193541120-interface-designer-permissions) says page filters change what is shown but do not determine who may open a page; base access provides another route to data. A current-user filter is configured per page. Do not treat a hidden field or filtered view as an enforced security boundary.

[SmartSuite](https://help.smartsuite.com/en/articles/4913342-advanced-permissions) says a Guest must be added to the solution and can see and comment on assigned records without a paid seat. For other member roles, [dynamic record permissions](https://help.smartsuite.com/en/articles/6950055-smartsuite-permissions) start on Enterprise. Confirm whether the two reviewers qualify as Guests and whether comments, assignments and all related tables behave as intended.

Enterprise pricing is custom: the [pricing page](https://www.smartsuite.com/pricing) states a 25-user minimum, while the [plan guide](https://help.smartsuite.com/en/articles/4789240-smartsuite-plans-features-and-pricing) states 15. Obtain current written terms if Enterprise record permissions are required. Neither number is a reliable total for this fixture.

Propose a synthetic test: assign different records to two reviewers; check both users against unassigned records, linked records, search, exports, APIs and all shared pages. Also test access after changing assignments. This guide has not run that test.

## Model each automation step

[Airtable](https://support.airtable.com/articles/3669392397-getting-started-with-airtable-automations) says a run is counted when a trigger is invoked, including failed attempts. If exactly one automation is invoked for each of the 1,000 triggers, that is 1,000 runs before additional triggers or retries; Team lists 25,000 runs per workspace per month in its [plan guide](https://support.airtable.com/articles/2277136852-airtable-plans-overview).

[SmartSuite](https://help.smartsuite.com/en/articles/4759982-automation-limits) counts each executed action within a run. For illustration, 1,000 triggers each executing two actions consume about 2,000 actions; branches, loops, failures and extra actions change the total. Confirm the current allowance and overage terms: official plan and limits descriptions use differing run/action labels. API requests have a separate allowance.

## Plan the data exit

[Airtable](https://support.airtable.com/articles/7403739720-creating-and-managing-airtable-bases) describes exporting a grid view as CSV. Exports are table by table, and filters affect what comes out. [Airtable](https://support.airtable.com/articles/9671148410-airtable-attachment-url-behavior) advises downloading attachments from exported links before those links expire.

[SmartSuite](https://help.smartsuite.com/en/articles/4793382-how-do-i-print-or-export-a-view-print-export-saved-views) describes exporting a view, including its selected fields and filtered records, but excluding attachments and comments. Each table is exported separately. Neither CSV rows nor a view export should be treated as a complete working application: inventory attachments, linked relationships, formulas, permissions, interfaces, automations and history separately, then verify how each can be restored.

## Choose the controls before the plan

Compare [Airtable](https://quillwell.com/guides/software/airtable/) and [SmartSuite](https://quillwell.com/guides/software/smartsuite/) with the same synthetic data and least-privilege roles. Consider [Baserow](https://quillwell.com/guides/software/baserow/) if operating a self-managed instance is part of the decision.

Use the [workflow automation comparison](https://quillwell.com/guides/compare/zapier-vs-make/) to assess external handoffs and the [software trial guide](https://quillwell.com/guides/software-trial/) to record acceptance and recovery criteria.

## Common questions

### Are two reviewers automatically free?

No. [Airtable](https://support.airtable.com/articles/1636857517-how-airtable-collaborators-impact-billing) bills Team commenters, while read-only collaborators are not billed. [SmartSuite](https://help.smartsuite.com/en/articles/4913342-advanced-permissions) describes a restricted Guest role without a paid seat. Confirm each person’s actual permissions and plan.

### Does a filtered view secure assigned records?

Do not assume so. [Airtable](https://support.airtable.com/articles/2193541120-interface-designer-permissions) says filters change what is shown, while access depends on the shared page and other available routes. Verify the exact permissions and test with separate synthetic identities.

### Are 1,000 triggers the same as 1,000 automation actions?

Not necessarily. [Airtable](https://support.airtable.com/articles/3669392397-getting-started-with-airtable-automations) counts an invoked automation as a run; [SmartSuite](https://help.smartsuite.com/en/articles/4759982-automation-limits) counts each executed action. Multiple actions, branches or retriggers change consumption.
